Eichler Club Party Guidelines 2025

Maximum capacity per party

  • 25 people total (kids/adults) 

Maximum duration per party: 3 hours with additional ½ hour for set up and ½ hour for cleanup

Guidelines for all Parties

Supervision & Safety

  • Additional Liability insurance of $1million to be provided and paid for by the party sponsor.  Provide proof of insurance to Club manager two days before your event
  • No Alcohol is permitted anywhere on Eichler Swim and Tennis Club property.
  • Eichler respects the American Red Cross ratio 1:25 lifeguard/swimmers
  • Youth parties require a designated adult chaperone for every 15 children, whether or not the children are swimming.
  • Adult chaperones do not have to be club members as long as the host (member) is present at all times. 
  • Members need to be present at all times during the party (from start to finish) 
  • Children that are not water-safe need to have an adult (18 years old and up) at arm’s reach at all times even when wearing an USCG approved life jacket or vest.
  • Baby pool is reserved for 6 & Under and have an adult (18 years old and up) within arm’s reach at all times  
  • Children need to stay in the recreation area of the pool and out of the lap lanes.
  • Follow posted Swimming pool and Facility rules
  • Follow the lifeguard’s instructions respectfully

Party Size & Scheduling

  • No parties larger than 25 people total allowed.
  • Only one party at the time, allowed during weekends (unless there are sufficient guards AND approved by management). 
  • Multiple parties may happen on a given day providing the time of day for each party does not overlap the other party.
  • Annual guest visits quota (35) CANNOT be used for parties.
  • No “open” parties allowed (when an organizer cannot provide a clear head count of guests prior to the event).

Guest List, Waivers & Insurance

  • Waiver to be provided by management ahead of the event so that all guests can have them signed and returned to Eichler two days before the event.  
  • All  waivers will be sent electronically via Dropbox Sign.
  • A roster of invited guests must be provided a minimum of two days in advance.  This is to be matched to the signed waivers.
  • Provide proof of insurance two days before your event

Fees & Payment

  • Party fees to be received 24 hours prior to the party via Bill.com
  • A late fee of $50.00 will be charged if the fee is not received on time. 
  • Clubhouse fee: September to May: $60. Summer: $85

Facility & Cleanup

  • Members must clean up and put back any tables and chairs moved on the deck or the clubhouse.
  • Members are responsible for any damage of equipment / vandalism due to the party
  • No indoor showers or “hanging out” in the locker room. Locker room OK for changing only

Pool & Activity Restrictions

  • All planned activities need management approval first:
    • No outside balloons allowed (clubhouse is OK): No live animal shows, no bouncing house, no water/nerf guns
    • Mermaid tails are fins and thus not allowed in the recreation area of the pool; they may be used in the lap lanes.  However, children are not allowed in the lap lanes.  Ergo NO mermaid tails.
    • One floatation device in the diving well only.
    • Swim suits only.
    • No Food or drink at the edge of the pool.  Food and drink are allowed in the club house or at the tables only. No glass or ceramic containers are allowed outside of the club house. 

Additional guidance for Large and Small Parties:

Large

  • >15 or up to 25 people total (including members) is considered a large party, (whether swimmers or non-swimmers)
  • Members need to fill out a party form at least three weeks  in advance so that guards can be scheduled.
  • During May through September Large Parties are restricted to the weekdays only.
  • A fee of $10 per person will be charged, members excluded. Advance payment is required 24 hours prior to the event.  Late payments will be charged a $50 fee.
  • You will need 1 guard scheduled just for your group.
  • Adult only parties with no expected swimming may not need additional guards. 
  • Swim tests to be conducted at the discretion of management/guard.
  • Waiver to be provided electronically by management ahead of the event so that all guests can have them signed and returned to Eichler two days before the event.  
  • A roster of invited guests must be provided a minimum of two days in advance.  This is to be matched to the signed waivers.

Small

  • >6 or up to 14 people total (including members) is considered a Small party, (whether swimmers or non-swimmers)
  • Members need to fill out a party form at least two weeks in advance so that guards can be scheduled.
  • Small Parties may be hosted any time.
  • A fee of $10 per person will be charged, members excluded. Advance payment is required 24 hours prior to the event. Late payments will be charged a $50 fee. 
  • Adult parties with no expected swimming may not need additional guards. 
  • Waiver to be provided electronically by management ahead of the event so that all guests can have them signed and returned to Eichler two days before the event.  
  • A roster of invited guests must be provided a minimum of two days in advance.  This is to be matched to the signed waivers.

Extra Small:–Not a party

  • >1 or up to 5 people total (including members) is not considered a party, 
  • No fees, additional insurance, or party form required.
  • Guest passes will be deducted from the member’s account.
