About Eichler Swim and Tennis Club (ESTC):

Founded in 1958, ESTC is a private, member-owned swim and tennis club in Palo Alto, CA, offering a six-lane competition pool, four tennis courts, a clubhouse, and recreational green space. ESTC serves 300 member families and is known for its welcoming community and commitment to quality recreational experiences.

Position Summary:

We are seeking a Club Manager to oversee day-to-day operations, facilities, member services, and internal communications. This full-time, salaried role reports directly to the Board of Directors and works closely with the Aquatics Director to ensure safe, smooth, and enjoyable operations of all aquatics and recreational programs. The Club Manager plays a key leadership role in ensuring the club runs efficiently and that members are supported and engaged.

Key Responsibilities:

Leadership & Personnel Management

  • Hire, train, schedule, and supervise seasonal and year-round staff, including an Aquatics Director, lifeguards, swim instructors, maintenance personnel, and contractors
  • Lead staff meetings and ensure team members are supported and trained in safety, customer service, and emergency procedures
  • Maintain accurate records of certifications, employment documentation, and performance evaluations
  • Promote a positive workplace culture grounded in accountability, inclusivity, and teamwork

Club Operations & Member Services

  • Serve as the primary point of contact for member inquiries, feedback, and support.
  • Oversee scheduling and use of club facilities, including open swim, lap swim, tennis courts, lessons, and clubhouse/party rentals.
  • Maintain and update the membership database, waitlist, billing, and new member onboarding processes.
  • Manage club communications, including the website, email newsletters, signage, and event promotion.
  • Collaborate with the Aquatics Director to coordinate seasonal swim team and lesson scheduling, registration, and communications.
  • Communicate updates to members including hours, events, policies, and closures

Facility & Vendor Management

  • Oversee daily facility operations and coordinate with vendors (janitorial, pool service, landscaping, etc.).
  • Manage facility maintenance needs for the clubhouse, pool, courts, and grounds.
  • Monitor pool equipment and water chemistry in partnership with aquatics staff and service vendors.
  • Ensure ongoing compliance with health and safety regulations and facility standards.
  • Support capital improvement planning and long-term maintenance initiatives in partnership with the Board.

Program Support & Coordination

  • Partner with the Aquatics Director to plan and deliver aquatics programs, including swim lessons, recreational swim, and team activities.
  • Coordinate with tennis instructors and coaches for lesson scheduling and court usage.
  • Help facilitate family events, social programs, and seasonal activities.
  • Develop and maintain seasonal and annual schedules for swim programs, tennis court use, rentals, and events

Administration & Board Support

  • Attend monthly Board of Directors meetings and provide operational updates.
  • Propose and manage the annual budget for general operations and facility maintenance.
  • Maintain records for contracts, insurance, liability waivers, and regulatory compliance.
  • Run back-office functions such as payroll processing, vendor payments, and invoicing.
  • Develop and manage the club’s operating budget in collaboration with the Board Treasurer
  • Track expenditures and revenue across membership, programs, rentals, and events
  • Evaluate and implement improvements to operational technology and member platforms

Qualifications:

  • 3+ years of experience in club management, operations, or facility administration.
  • Strong organizational, communication, and problem-solving skills.
  • Experience in recreation, aquatics, or hospitality management is a plus.
  • Comfortable using Google Workspace, Microsoft Office, and managing CRM or member portals.
  • Ability to work independently and flexibly, including some evenings/weekends/early mornings.
  • Experience working with nonprofit boards or volunteer committees is a plus.

License, Certification, and Other Requirements:

  • Ability to swim.
  • Current, valid Driver’s License.
  • First Aid and CPR Certification (ESTC will support post-hire if necessary).
  • Aquatic Facility Operator (AFO) or Certified Pool Operator (CPO) Certification (preferred, or willingness to obtain).
  • Optional: Lifeguard certification or previous experience in aquatics operations.

Compensation & Benefits:

  • Salary: $80,000 – $110,000, depending on experience
